Supported Organizations

Supported organizations are organizations that qualify under the 501c(3) charitable organization status the Clover Park Foundation holds.  These are organizations within or outside of the Clover Park district that fund raise for the sole purpose of supporting students and teachers of Clover Park School District.

To become a supported organization is fairly simple.  Here are the requirements:


Here's the basics/minimums:
1) Create an organization name.
2) Elect Officers: President, Treasurer and Secretary at least. 
Treasure keeps a set of books recording all transactions. This set is for you to make sue that it coincides with the Kelly Tax Service bookkeeper--her name is Pat.
Secretary keeps minutes of all committee decisions and actions.
3) Have a few members.
4) Record Minutes by meeting at least once-a-year.
5) Create By-Laws with a Mission Statement  (You can download a copy for the internet and quickly fill in the blanks.)
6) Create Fund Raising Plan that has a timeline/calendar (approximate and flexible will do)
7) All transactions, depostis and withdralwls, must be tracked through the Foundation's accounting firm, Kelly Tax Service.
Note: There may be some minimal service fee's incurred.  So far it has not been necessary to share the cost, but things change, so be prepared.
 8) To track money in and out of your organization you need a paper trail.

Specific Forms to Create for Your Organization:
1) DEPOSIT FORM
Deposit all earned funds with the Clover Park Foundation via Kelly's Tax Service with an accompanying simple form with TWO SIGNATURES that briefly explains the deposit: eg: 
Your forms says....
$2000 from Theater Booster Club of Clover Park High School.
And at the bottom of the form----
Deposited by Treasurer, Susy Smart, President or Secretary Other Person. Treasurer, Susy Smart, President or Secretary (Other Person).   Signed: (Susan Smart) Signed: (Other Person)
2) DISBURSEMENT FORM:  TWO KINDS
Withdraw all earned funds from the Clover Park Foundation via Kelly's Tax Service with an accompanying simple form that briefly explains the withdrawal with accompanying invoice or disbursement: eg:
PAYING AN INVOICE  Your form says...
Invoice #1234 (attached) from Pie Maker LLC . Amount Due $500.00.
Explanation: Check to Pie Maker LLC for pies for fund raiser on October 14, 2017
And at the bottom of the form--
Example:
Submitted by Susy Smart. Treasurer, Susy Smart, President or Secretary Other Person's Name.  Signed: (Other Person)
Or
 DISBURSING FUNDS FOR A GRANT
Your form says:
Disbursement Explanation that show why and whom you are disbursing the money eg: Winner of $500 Scholarship#1 to Judy Brown,
Example:
Disbursement Explanation: Scholarship #1for $500.00 to Judy Brown 123 First St Lakewood WA  98499.  Please send to Judy. OR Please hold for pick-up by Susy for Awards Ceremony.

And at the bottom of the form--
Submitted by Susy Smart. Treasurer, Susy Smart, President or Secretary Other Person's Name.  Signed: (Other Person)

CPF provides the 501 c(3) status you need to solicit tax-free donations, they file the returns and keep you in compliance.
